Program Coordinator for Conferences & External Engagement

Title: Program Coordinator, Conferences & External Engagement

Reports to: Director, Partnerships

Location: Hybrid /Boston, MA (1-2 days/week)

Status: Full Time; Exempt (S2, B3)

Start Date: Immediate

Salary Range*: $52,000 - $58,000

Facing History & Ourselves is a global education non-profit organization that challenges teachers and students to use lessons of history to stand up to bigotry and hate.

The Program Coordinator for Conferences & External Engagement will be responsible for planning and organizing conferences, meetings, and other related events. This includes managing conference applications and attendees, securing locations, coordinating facilities and managing travel, logistics and vendors.

Who You Are: You have events and/or customer-service experience and are comfortable working closely with clients to determine their event needs and ensure success. You are detail and logistics oriented. You have a can-do and up-beat attitude to your work, self starter, love working in teams, intellectually curious and interested in education reform and improving schools.

Who We Are: The Growth & Engagement team is a new department at Facing History, composed of long-time team members who have worked closely together around our earned revenue efforts. We are passionate about the mission of Facing History about bringing the impact of our work to more schools and districts than ever before.

Specific Responsibilities Include:

  • Design and develop a comprehensive conference program that covers all aspects of the event.

  • Collaborate with the team for the pre-conference management such as planning, budgeting, and vendor selection.

  • Select venue location and arrange for facilities like audio-visual equipment, catering, and transportation.

  • Act as the main point of contact for all conference-related inquiries.

  • Develop and maintain relationships with vendors, sponsors, and attendees.

  • Create and execute the conference marketing plan, including email campaigns, social media efforts, and advertising.

  • Manage the registration process and maintain accurate attendee records.

  • On the day of the conference, facilitate and manage all aspects of the event, including setup, registration, keynote speakers, breakout sessions, and catering.

  • Provide post-conference reporting and analysis, including attendee feedback, budget reconciliation, and vendor evaluation.

  • Plan and coordinate all aspects of conferences, meetings, and events from start to finish

  • Collaborate with team members to determine event goals, timelines, and budgets

  • Negotiate contracts with vendors and hotels for event spaces, food and beverage, transportation, and other services

  • Ensure all necessary permits and licenses are obtained and all legal and insurance requirements are met

  • Work closely with the marketing team to ensure that event marketing materials, including invitations, programs, and signage

  • Coordinate event logistics, such as audiovisual equipment, transportation, lodging, and meals

  • Work with presenters and speakers to ensure they have all necessary materials and equipment for their presentations

  • Oversee on-site event management, including managing staff and handling any issues that arise during the event

  • Create post-event reports to measure success and identify areas for improvement

Essential Skills and Qualities:

  • At least 2 years of experience in event planning and coordination or a related field

  • Strong organizational skills and attention to detail

  • Ability to maintain focus, motivation and communication with others in a remote environment

  • Disciplined self-starter and independent worker with creative energy

  • Excellent written and verbal communication skills

  • Ability to work independently and manage multiple tasks simultaneously

  • Proficiency in Microsoft Office and event management software

  • Ability to lift 25+ pounds

Hybrid Work Model: Facing History and Ourselves operates in a hybrid work model, allowing staff flexibility in both schedules and work locations. This particular position is Boston based and requires 1-2 days of in office, in person work. Travel will be required.
