Program Assistant (Part Time to Full Time)

Department: Program Delivery & Content Development
Location: Brookline, MA

Position:  Program Assistant

Reports to: Director of District Partnerships

Status:  Part Time**, Non-exempt

Location:  Brookline, MA (preferred, but not required)

Start date:  Immediately

**Note: This position is part-time (50%) through June 30.  Beginning July 1, this position will be full-time.


Position description:

As a member of Facing History and Ourselves’ Program Operations/Administration team, this Program Assistant provides administrative support for several key organization-wide program activities, including:

  • Earned Income Support: by tracking regional and national  contracts and fee-for-service income to Facing History and regularly developing reports to stakeholders on that income 

  • School Partnership and the District Partnership Teams: by providing administrative and logistical support to the leaders of these internal teams that are charged with developing and sustaining long-term partnerships with schools and districts


Who You Are: You have excellent organizational, communication, and management skills as well as good writing and editing skills.  You are detail oriented with a basic understanding of budgets, databases, and general office related softwares (e.g., Google Suite, Microsoft Office).  You have a proven ability to create effective systems for managing multiple projects.  You are a self-starter, trustworthy, and enjoy being part of a larger team.


Specific responsibilities include:

  • Provide administrative and logistical support and coordination for the earned income process.

  • Maintain and reconcile contact and event information in the organization’s CRM (i.e., Salesforce) for a variety of projects and programs, running reports as requested.

  • Provide travel, lodging, logistical and expense support for the Director(s) and Program Associates assigned to the School and District Partnership teams’ events.

  • Provide research support for the School and District Partnership teams on various school districts, educational initiatives, competitor information, etc. 

  • Support the development of slide presentations and related materials (e.g., packets, spreadsheets, playlists, advanced reading materials, etc.) for the School and District partnership team leaders, as necessary.

  • Provide administrative support for the development and completion of organizational and regional vendor applications and Request for Proposals (RFPs).

  • Track expenses against budgets for a number of projects.

  • Coordinate, in conjunction with the School and District Partnership team leaders, with the Marketing and Communications Department on the development of basic School and District Partnership related marketing and communications materials.

  • Provide assistance, when necessary, for Facing History’s Virtual Educator Support function that responds to website inquiries from educators around the world.

  • Additional responsibilities as assigned.


Skills and Qualifications:

  • Experience developing presentations and materials 

  • Research skills 

  • Salesforce experience a plus

  • Ability to articulate mission of Facing History to external stakeholders

  • Strong cross organizational coordination skills

  • BA or equivalent work experience
